How we work

Six stages.
Each with a deliverable.

Trading coil goes wrong in predictable places: an ambiguous specification, an origin that carries duty, a document that does not match the cargo. Our process is built around removing those failure points before they cost you money.

01

Enquiry & qualification

Same day

You send a specification. We check it is complete and internally consistent before anything else happens.

Deliverable

Confirmed, buildable specification and a stated response time.

A trader — not a form autoresponder — reads your RFQ and checks the specification is buildable. If the grade, coating class and forming requirement contradict each other, you hear about it now rather than after the coil is rolled.

We confirm the commercial frame: destination port, Incoterm, target tonnage, delivery window, packing requirement and any certification or inspection you need.

Where the specification is open, we will propose the sensible option and tell you what it costs — for example galvanized versus galvalume for a given exposure, or the real price of restricted thickness tolerance.

02

Mill matching & pricing

24 – 72 hours

We approach the mills whose capability, rolling schedule and origin position actually fit your order.

Deliverable

Formal written offer: specification, origin, price basis, Incoterm, validity and lead time.

We do not own mills. That is the point: every enquiry is matched to the mills that can genuinely hold your specification, in the window you need, from an origin that works for your customs and duty position.

We price against live mill positions and current freight, not a stale internal list. Where two origins are genuinely comparable we will show you both, with the trade-off stated.

Origin selection is a compliance decision as much as a commercial one. Anti-dumping duties, safeguard quotas and melt-and-pour rules can make the cheapest mill the most expensive landed tonne.

03

Offer, negotiation & contract

2 – 5 days

A formal offer you can actually evaluate, then a contract that says exactly what will arrive.

Deliverable

Signed sales contract and proforma invoice.

Our offers state the mill origin, full specification including BMT and coating class, tolerance basis, packing, certification, price basis and Incoterm, quantity tolerance, and validity period. Nothing important is left to be assumed later.

Once terms are agreed we issue a sales contract or proforma invoice covering payment terms, shipment window, documentation set and inspection arrangements.

Payment is typically by irrevocable L/C at sight, confirmed L/C, TT deposit against balance on documents, or open terms for established accounts — agreed before production, never after.

04

Production & inspection

15 – 45 days

The mill rolls to schedule. We monitor it, and we verify before it ships.

Deliverable

Production status updates, inspection report, MTCs verified against contract.

We track the rolling and coating schedule against the contracted window and tell you early if it moves — a delay you know about three weeks ahead is a planning problem, and one you discover at the port is a crisis.

Pre-shipment inspection is arranged where the order warrants it: dimensional checks, coating mass verification, surface inspection and packing condition, by our own people or a third-party agency you nominate (SGS, Bureau Veritas, Intertek).

Mill test certificates to EN 10204-3.1 are issued and checked against the contract specification before shipment, not after arrival.

05

Logistics & documentation

10 – 40 days transit

Booking, loading and a complete, customs-ready document set.

Deliverable

Full shipping document set, released per the agreed payment terms.

We book with established freight forwarders and lines, in containers or breakbulk depending on tonnage, coil weight and discharge port capability.

The standard document set: commercial invoice, packing list with coil-by-coil weights and numbers, bill of lading, certificate of origin, mill test certificates, and any inspection certificate, fumigation certificate or specific document your customs authority requires.

Documents are checked before dispatch. A document error is the single most common cause of demurrage, and it is entirely preventable.

06

Arrival & aftercare

Ongoing

Discharge support, claim handling, and a record that makes the repeat order easier.

Deliverable

Clean delivery, resolved claims, a retained specification record for re-order.

We stay involved through discharge and customs clearance, and we deal with the shipping line or forwarder directly where something goes wrong.

If there is a genuine quality or quantity claim, we handle it with the mill on your behalf. We hold the mill relationship — you should not have to litigate a coating result across a language barrier and eight time zones.

Your specification, mill, batch references and packing preferences are recorded, so the next order starts from a known-good baseline rather than from scratch.

Payment

Terms agreed before production

Payment structure is settled at contract stage, never renegotiated mid-production. Which instrument suits depends on tonnage, trading history and the banking position at both ends.

Irrevocable L/C at sight

The default for new accounts and larger tonnages. Documents released against a compliant presentation.

Confirmed L/C

Where country or bank risk warrants confirmation by a bank acceptable to both sides.

TT deposit + balance

A deposit against contract, balance against copy documents or on arrival. Common for repeat accounts.

Open terms

Available to established accounts with a trading history, subject to credit review.

Documentation

The standard document set

Checked against the contract before dispatch. A document error is the most common cause of demurrage, and it is entirely preventable.

  • Commercial invoice
  • Packing list with coil-by-coil numbers and weights
  • Bill of lading
  • Certificate of origin (preferential form where applicable)
  • Mill test certificates to EN 10204-3.1
  • Pre-shipment inspection certificate (where arranged)
  • Fumigation certificate (where packing requires it)
  • Insurance certificate (CIF only)

Compliance

What we verify on every order

Origin rules, certification and trade remedies are not administrative afterthoughts in steel — they determine whether a shipment clears and what it ultimately costs.

Country of origin & melt-and-pour

Origin for steel is determined by where the steel was melted and poured, not by where it was last processed or shipped from. Many jurisdictions — the United States most strictly — require melt-and-pour to be declared and evidenced. We state the melting mill on the documentation and will not present a re-rolling or coating location as the country of origin.

Mill test certificates (EN 10204-3.1)

Every order ships with a mill test certificate to EN 10204-3.1: chemical composition, mechanical properties and, for coated product, coating mass, issued by the mill’s own independent inspection function and traceable to the heat and coil numbers on the packing list. We check the MTC against the contract before shipment rather than forwarding it unread.

Certificates of origin

We arrange certificates of origin through the issuing chamber of commerce or competent authority, including preferential-origin forms where a trade agreement applies — Form D for ATIGA within ASEAN, Form E for the ASEAN-China agreement, and equivalents. Preferential treatment depends on the form being correct at issue; it cannot be fixed after arrival.

Trade remedies: anti-dumping, countervailing & safeguards

Coated and hot-rolled coil are among the most heavily protected product groups in world trade. Anti-dumping duties, countervailing duties and safeguard quotas differ by origin, product and destination, and they change. We check the current position for your destination before recommending an origin, because a duty exposure discovered after shipment falls on the importer.

Inspection & third-party verification

Independent pre-shipment inspection is available on any order and recommended for first orders with a new mill, for stainless, and for any specification where coating mass or surface quality is critical. We coordinate SGS, Bureau Veritas, Intertek or your nominated agency at the mill and release the report before shipment.

Responsible sourcing & sanctions screening

Counterparties and mills are screened against applicable sanctions lists before we transact, and we decline business that cannot be documented cleanly. We expect our mills to hold current ISO 9001 certification, and we ask for environmental and management system certification where a customer’s own reporting requires it.

Every stage above starts with one specification.

Send it and the process begins the same day. hungthaicoils responds to complete RFQs within 24 hours on most product families.
